The Position

The Role

The position will be based in Dubai, UAE and will report directly to the People & Culture Manager, Gulf Region. The position is responsible for providing administrative and operational support to different functions by coordinating activities, managing documentation and approvals, supporting P&C initiatives, ensuring efficient, compliant, and timely execution of business processes.

Your Opportunities

  • Coordinate and facilitate all logistical aspects related to Healthcare Professional (HCP) engagement activities, ensuring timely execution, compliance with internal policies, and a seamless participant experience.
  • Manage relationships with external agencies, printers, event organizers, and other vendors, ensuring quality service delivery, adherence to timelines, and effective cost management.
  • Oversee the end-to-end processing and tracking of Purchase Requisitions (PRs), Purchase Orders (POs), DocuSign approvals, contracts, and other documentation required for the execution of marketing activities, ensuring compliance with company procedures and approval workflows.
  • Maintain accurate and up-to-date records of marketing activities, including status tracking, supporting documentation, contracts, approvals, and archives, ensuring audit readiness and compliance with regulatory requirements.
  • Support the planning, coordination, and execution of marketing campaigns, product launches, events, and promotional initiatives by collaborating with cross-functional teams and ensuring timely completion of key deliverables.
  • Monitor activity timelines and follow up with stakeholders to ensure milestones, approvals, and deliverables are completed within agreed deadlines.
  • Ensure all marketing and engagement activities are executed in full compliance with company policies and ethical standards, proactively identifying and escalating any compliance risks.
  • Maintain the highest level of confidentiality and integrity when handling commercial, financial, and customer information, ensuring compliance with data privacy requirements.
  • Provide administrative support to the People & Culture team across employee lifecycle activities, including onboarding, and offboarding.
  • Support the organization of employee events, recognition programs, and culture-building initiatives.
